oops I forgot some stuff
Our staff meeting was long and went way over. Here are some things I neglected to share:
- Libqual. Please push this with our patrons. We are seriously behind as a system.
- Leslie has officially delcared a hiring frost. This means positions will no longer automatically be filled. Nobody is allowed to quit.
- Old memo from Dave: Wanted to make sure everyone was aware of the fact that we have "wet floor" signs back in the janitors closet if we need them.
- We are all encouraged to come to the staff showcase opening reception at Amelia Branch on 5/5/06 at 5:30-7:30. If you have any artwork you would like to display, please get in touch with Joann.
- We've got the spring weeding lists and I'm putting a lot of stuff on the withdraw shelf. (Our sales's going well, by the way, we are down to 3 carts).
April Staff Meeting Notes, cont'd
The big news from managers:
- Incident reports: The must be faxed immediately to Admin. No later than 24 hours of the incident. Do not wait for the manager to be notified. The person that witnessed the incident should fill out the report.
- Admin wants to be notified by telephone when an incident or accident occurs that has PR overtones, situations of crises, customer service fiascos, or anything that might result in a potential lawsuit. You can call anyone in admin, they will know how to react. Also, keep calling til you get a body. If it's afterhours then you need to call a cell or pager number. Those numbers are posted on the clipboard and the LA binder.
- When filling out the incident reports make sure that the branch information is filled out.
All animal programs need to get Liz's approval.
We are doing a branch SWOT ananlysis on communication. I'll create a word document that can be added to in the NR shared file.
Admin wants us to make sure and add email addresses to patron records. In fact, they will be offering an insentive to the branch that gets the most. This will be based on percentages.
Evaluations will need to be done on anniversary (hire) dates, so you may be getting your evaluation sooner than you think (at least not in December)
Liz got us head lice guidelines. These are on the clipboard. We are to ask those patrons we know to have lice (and pink eye) to return to the library when the condition has been successfully treated. This will take some finesse. Please read the guidelines closely.
We will be doing a Youth reference survey for ages 7-17 in May. A copy will be posted on the clipboard.

Usage stats: Leslie is gathering information about usage. Will put the report on the clipboard. Our book circ is up! Everything EVERYTHING else is down. Magazines down 40%! We have got to do a better job recording patron contacts. I look at those forms at the end of the month to record stats for our monthly report and I will be talking to those who work on days when no or few stats recorded. I know we all have a lot to do, and it's hard to remember, but if this gets on my eval, you can bet it will show up on yours. I keep hearing that we seem busier, so I would think our stats would be up. (sorry for the heavy...)
Bulletin Bd proceedures: Generally, anything brought in needs to be cleared by either myself or Liz. When do we put up notices when prices/fees are involved? I've gotten the ok from Liz and Leslie that if it is a local event (say from the NR schools) that would be ok. I allowed the flower show since that is very popular in the area, and it provides a service to post information about it.
Program proofs over the fax: These need to given directly to the programmer (either Jenny, Heather or myself). DO NOT PUT THEM ON THE CLIPBOARD.
Morning/evening/mechanical check off sheets: The morning/evening sheets have been moved to the supply cabinet. The marjority of us felt that they would seen and remembered better if they were there. We need to make sure that the building is getting a walk around in the evening, so if the pages aren't here, make sure it gets done. Please initial instead of checking off. Make sure you initial the mechanical sheet when it is your month to clean the fridge.
Money: It's important that we improve our accuracy. Make sure you print out receipts for each transaction. Keep the money drawer in order of 20s, 10s, 5s and 1s. Make sure you count back change to the patron, so you get a second chance to make sure you are not handing them a 10 instead of a 1. Remember that all the pcs have calculators on them. Click the Start button>programs>accessories>calculator. You can leave it open, and calculate all your change that way.
YOUTH SERVICES
Chris explained Creature Feature. A teen summer reading program. There will be weekly grab bag drawings at each branch. A branch prize: an MP3 player (purchased by the Friends) and a system prize: a laptop computer (dontated).

Jenny had some general questions:
What goes where on the book carts? The pages would like things somewhat divided up (I hope I got this right), but even more importantly, don't put anything on a cart that has a note on it that says "double scanned and ready to shelve".
Professional Journals: There is a box at the reference desk for these. When they come in the shuttle, please put them in the box. It is the reference staff's responsilbity to read them, initial, and send them on.
Who is the library named after? Harold P. Flannery. He was a real estate developer in Clermont County. His daughter donated a portion of this property to the library for the development of a new branch.
NR Book Club proceedures: Heather is responsible for the Spinebenders book club. She will exapnd on that. I get the books for the BookEnds group. I order them on my card and when the group meets, they are supposed to check them out. Please make sure you date the books for the next meeting time.
Thermostat adjustments: It is okay to do a temporary adjustment for the meeting room. Due to rising energy costs the temperature settings may not be as comfortable as we wished. We will be getting to fans (one for circ, one for ref) to help keep us more comfortable.
Viv will expand on LADG and other LA issues.

Dave came and did a great rundown on how our phones work:
- Currently our paging capabilities are not working. He will check on this and let us know when it's running. To page you pick up the handset and hit the "page/16" button.
- If you want to hold all calls on a particular phone hit 'speaker' and 'DND' and 'speaker'. You do the same to turn off.
- To transfer you hit the 'transfer' button and dial the extension you are transferring to. You can either hang up or announce the call.
- To change the Ring Tones you hit 'Feature' '3'. To hear the next ring hit '3'. When you've got the ring you want hit 'feature'.
Dave also went over storm procedures:
- When the storm sirens go off, we must respond and go to our safe areas (the women's restroom and the staff bathroom). We are to tell our patrons to accompany us to the safe area or leave the building. If they flat out refuse, then we are to save ourselves. Dave said it is OK to turn off computers (depending on the nearness of the threat) to disuade people from trying to stay and use them. We can also lock the money in the safe or lock the drawer. Note, sirens go off in a 'tornado warning' situation and also when there is a 'thunderstorm warning' along with a 'tornado watch'. The last time the sirens went off it wasn't even raining at the branch. It doesn't matter, however. We are to seek shelter until the sirens go off. (The sirens will stay on as long as the threat is there).
Dave reminded us that if servicemen ask us to turn the ADT system on 'test', we are to call ADT and have them remove us from 'test' mode. Apparently at one branch a worker got done early and left before the 'test' was removed and when it went back online something was wrong and it set off the alarm. This would only need to be done by the person in charge, and would usually only occur with HVAC techs.
